How to apologize over text without over-apologizing
A good text apology has three parts: name what happened, own it without excuses, and offer a repair. It does not need to be long. In fact, the longer an apology gets, the more it becomes about your guilt instead of their inconvenience.
The structure
- Name it plainly. "I missed our call" beats "about earlier..."
- Own it, no "but". The word "but" deletes everything before it. "I'm sorry, but traffic" is an excuse wearing an apology's coat.
- Offer the repair. Reschedule, fix, or ask what would help. Then stop typing.

sorry but traffic was insane
I'm sorry I kept you waiting. I should have left earlier. On my way now, 10 minutes out.
sorry if that came across wrong
I'm sorry, that message came out harsher than I meant. I appreciate the work you put into this.

You're right, I dropped the ball on this. Fixing it now, you'll have it by 5.
sorry sorry sorry
I'm sorry about last night. I'd like to hear how it felt from your side when you're up for it.
The over-apology trap
Apologizing five times shifts the emotional work onto the other person, who now has to comfort you. One clear apology plus one concrete repair respects their time. If you catch yourself writing "I'm the worst," delete it and state what you will do instead.
