The formula for a kind no: appreciate, decline clearly, and stop. The mistakes people make are the vague no ("maybe, we'll see!") which just delays the conflict, and the essay no, where three paragraphs of justification invite negotiation. A clear no with warmth is kinder than a soft maybe.

Why the clear no works

People remember how easy you were to deal with, not how available you were. A prompt, warm, unambiguous no lets everyone plan around reality. Notice that none of the examples above explain much: a short reason is fine, a long one reads as asking permission.
