Professional text message templates for small business owners

If you run a trade, a salon, a practice, or any business where clients text you, your texts are your storefront. These templates are written for texting: short enough to read on a lock screen, warm enough to keep the relationship. Swap the bracketed parts and send.

Following up on a quote

Hi [name], just checking in on the quote I sent Tuesday. Happy to answer any questions or adjust the scope. If now's not the right time, no problem at all.

Payment reminder (gentle)

Hi [name], a friendly reminder that invoice [number] ([amount]) was due [date]. Here's the payment link again: [link]. Thanks!

Payment reminder (firm)

Hi [name], invoice [number] is now [X] weeks past due. Could you let me know today when payment will be sent? I'd like to get this settled so we can keep things on schedule.

Announcing a delay

Hi [name], an update on [job]: [reason for delay] has pushed us back to [new date]. I know that's not what you were hoping to hear, and I'll confirm as soon as we're on site. Thanks for your patience.

Appointment confirmation

Hi [name], confirming your appointment [day] at [time] at [location]. Reply C to confirm or R to reschedule. See you then!

Asking for a review

Hi [name], it was a pleasure working with you! If you were happy with the job, a quick review here would mean a lot to a small business: [link]. Thanks either way.

Raising prices

Hi [name], a heads up that starting [date] my rate for [service] will be [new price], the first change since [year]. Your current booking stays at the old rate. Happy to answer any questions.

Turning down work (too busy)

Hi [name], thanks for thinking of me. I'm fully booked through [date] and don't want to promise a timeline I can't hit. If it can wait, I'd love to help then.

If you work in real estate

Agents have their own set of high-stakes messages (lowball offers, inspection reports, delayed closings). Those are covered separately in text scripts for real estate agents.

Make any template sound like you

Templates get you 80 percent there. The last 20 percent is your own phrasing on a specific situation, which is where a one-tap rewrite helps: type what you actually want to say, however blunt, and let Reword Me shape it into the professional version before it sends.
